Event booking processes can be a bit tricky sometimes, this page is dedicated to providing as much simplicity and clarity around our process so you know exactly what is going on. All of our katchimedia bookings follow a similar process, with exceptions noted and detailed on this page.

For compensated events:

 

Step 1.
Discovery Call Form

Complete and submit our Discovery Call Form

It all starts with the Discovery Call Form which allows you to provide us with some initial event details while simultaneously booking a time to meet. Once scheduled, you will receive an email confirmation, along with additional meeting reminders sent by email or text, and an on-screen message that allows you to download/import the meeting to your preferred calendar. 

 

Step 2.
Call Confirmation

Check your inbox/messages for confirmation.

Show up to your scheduled Discovery Call meeting at the confirmed time. Check your email (inbox, spam, junk) to make sure you are getting notified of katchimedia correspondence. Perform a keyword search on “katchimedia” and stay up-to-date on all correspondence.

If you need to reschedule or cancel please use the specified links contained in your confirmation email sent by Calendly.

 

Step 3.
Discovery Call Meeting

What to know about your Discovery Call.

During the Discovery Call Meeting call, be prepared to provide as much detail as possible of the event. We understand times may change so have some alternate dates in mind if applicable. Be prepared to discuss budget and payment fees and terms, including location-specific details, artist/talent requirements, event coordinator requirements, and COVID protocol for live events.

Understand that there may be scenarios that require multiple Discovery Calls until we all come to the same understanding. If Meeting Requesters does not show up within 10 minutes of the meeting start time, the meeting is cancelled by katchimedia, the Requester is tagged as a no-show, and Requester must reschedule or book a new meeting altogether.

 

Step. 4
Booking Form

Send The Booking Confirmation Form.

Based upon what was verbally reviewed and confirmed during the Discovery Call meeting, a booking confirmation form will be routed to you to complete. Barring any additional changes, it will be the final catalyst that helps to generate the agreement.

Step. 5
Performance Agreement

Electronic Routing of Performance Agreement. 

The Agreement will contain all the finalized details reviewed during the Discovery Call Meeting and on the Booking Confirmation Form. The agreement will be routed to your email address and you will be prompted to click on the link to provide your e-signature. Once you have signed off on the designated areas, the agreement will be automatically routed to your desired Artist to sign, with final approval provided by the katchimedia admin. All signing parties will receive a copy of the executed agreement.

Step. 6
Performance Date

Details to support Artist during event.

Performer/Artist will be provided with all the necessary information discussed and agreed upon, which will serve as their guide for the duration of the event date.

Point of Contact details will also be shared with the Artist/Performer.

 

Step 7.
Event Files

Depending on what was confirmed during discussions, there is typically a follow-up period post-event which gives the Event Coordinator an opportunity to upload event video files, provide feedback of the Artist, and include any associated questions or surveys of the Artist that is part of the agreement.

For In-Kind Contributions (non-compensated event requests):

At the top of each calendar year, each Artist provides an allotment of in-kind, Pro gratis (free) events they accept every year, so be sure to submit your in-kind request well in advance to ensure availability.
